Three months before renewal, EBS blankets the market to ensure you get the most cost-effective rates for all of your employee benefits: dental insurance, medical insurance, disability insurance and more.Our services also include the following:
- 1. When you hire an employee, electronically send us the “New Employee Information” form.
- 2. When you have a family status change, send us the “Employer’s Notice of Change” form.
- 3. When an individual loses eligibility, send us the “Employee Termination” form.
Once you send the electronic form, we assume responsibility for enrolling, changing, and terminating coverage for all of your employee benefits.

Reconciling bills from multiple carriers is time consuming, which is why EBS prints all bills for all insurance carriers from a single system to ensure all bills are in balance with each other. If the insurance company requires the use of its own bill, we reconcile it against our system to ensure accuracy.

The same system that prepares bills also reports to your payroll department what you should be deducting out of each employee’s check. The payroll deduction spreadsheet breaks out costs by location and cost center for your payroll department. We deliver it in hard copy or electronically, whichever is most convenient for you.
Updates on Legislative Issues
Each year EBS sponsors one or more seminars covering employer laws as they pertain to benefits and provides legislative updates. Past topics have included COBRA/HIPAA, Section 125, and HSAs. All of our clients are invited to the seminars which provide an opportunity to meet each other and discuss important human resources issues.

Personalized Enrollment Forms for Each Employee
When an employer has ten benefits with eight enrollment forms, enrolling into a complex benefit package can be a daunting task, which is why EBS has developed a personalized, single-source enrollment form for all products.
Each employee receives a personalized form that includes his or her exact payroll deduction. This single-source enrollment form simplifies the enrollment process and ensures the employee is enrolled accurately.
Confirmation Form Detailing Elections, Beneficiaries, and Dependents
When an employee makes their initial election or changes their elections during the plan year, we send them a confirmation form of the changes that have been made. This includes detailing elections made as well as verifying their beneficiaries and dependents.
It is an excellent triple check for you, EBS, and the employee.
Eligibility/Historical File on Every Employee
EBS keeps hard copy records of every employee's entire benefit enrollment, election and change history. Much of that information is duplicated electronically in our Benefit Tracker system for immediate access.
A price cannot be put on this service when it comes to beneficiaries and dependent eligibility.
Compliance- Turnkey COBRA/HIPAA Administration
COBRA and HIPAA put substantial record-keeping and privacy burdens on employers. Maintaining your compliance is vital and time consuming. EBS saves you time and keeps you in compliance with these policies by giving you a full-time employee dedicated to COBRA and HIPAA administration.

One of our in-house CPAs will coordinate the preparation of your IRS 5500 forms which EBS will deliver to you ready for your signature.
Full Section 125 Flex Administration
Section 125 cafeteria plans let your employees pay for benefits with pre-tax dollars, but add a significant administrative burden for employers. EBS will administer your Section 125 plan, including employee spending accounts.
